New improved version of the RiS database online

Both, a simplified project registration and an improved search function have been implemented in the new version. Kings Bay AS will from 2008 on request the RiS project-ID when booking a stay in Ny-Ålesund.

A new improved version of the RiS database is now online. The project registration has been simplified, with only eight steps towards a complete registration. In addition a new powerful search function has been added that enables you to search for projects, persons and references that are registered in the RiS database.

Kings Bay AS asks for the RiS-ID since 2008
Each registered project has a unique RiS-ID that you can find in the report generated both after completed registration and when conducting a search. Kings Bay AS asks scientists to specify their RiS-ID's when booking a stay in Ny-Ålesund. There is also a request for the RiS-ID on the registration form for the Marine Laboratory.

What should be registered in the database?

Basically all research activities in Svalbard. This could be for example:

1. Research projects
2. Master theses
3. Long-term monitoring programmes
4. Wildlife census (from institutions, NGO's etc)
etc.

How to get a user-ID for the SSF-database

You need a user-ID and a password to add new projects or modify projects that are registered in your name.

1. Open the registration form (Fig. 1)

2. Fill out the form and press 'submit' (Fig. 2)

3. You will receive an email with your User-ID and password.

8 steps towards a complete project registration

Enter the database with your user-ID and password. You will now have to fill in information in 8 steps.

1. Previously registered projects. Here you will find all projects that you administrate. You can add a new project, modify an existing project or use an existing project as template for a new project (just change the relevant parts in the already filled form). You also can delete a project (eg. a planned project that did not get funding).

Projects that were registered in the old RiS catalogue in the period between 1991-2003 are transferred to the current database. If you have registered projects during this period and would like to have access in order to modify them or use them as new templates, you can send us an email containing your login account name (e-mail) and the name(s) of the relevant projects. You may search the database to find the project titles (use your name as search term). Send mail to ssf@npolar.no 

2. Basic project information. Fill in project title, acronym and the website of your project. If your project is a sub-project of a larger umbrella project or cluster, you can register the umbrella-project (you can search a list of all registered projects in order to find the umbrella project. Note: you have to register the umbrella project first!

3. Project dates and summary. Specify whether the project is in work, completed or planned. Enter start and end date of the project period, eg. for a PhD-project it will usually be 3 or 4 years. Add a summary of your project.

4. Keywords:
Pre-defined keyword:
You can search for keywords, by using the second field 'Search for keyword'. Fill in parts or the entire keyword and press the 'search list' button. You will get a selection of all fitting keywords in the lower field. Mark the relevant keyword. You can narrow down the keyword list by choosing a keyword topic (upper field). Note: you can only register one keyword at a time. Use the 'add'-button to add more keywords.
This keyword list complies with the standards set by the Global Change Master Directory GCMD (gcmd.nasa.gov).
Self-defined keyword: Add a keyword of your choice. Tip: If you have a name with special letters in it, eg. Bjørn or Sébastien, you could add here different types of spelling to increase the probability to find you in the search, eg Bjorn or Sebastien.

5. Field work. Specify the start and end date of each field work period, the field location and - if applicable - the research station you are using while conducting the field work (use the 'add' button to register more than one field period). This information is needed to give an overview over field activities in different areas and periods.

6. Institutions participating. Register all institutions involved in the project. You can search the database for already registered institutions. Don't forget to mark the institution in the list. If you cannot find an institution you can register a new entry ('New institution' button). You also can update the address of an institution. Use the 'add'-button to register more than one institution.

7. Project personnel. Register all persons involved in the project. Also here you can search the database for a person and mark him/her in the list. You have to specify the role of the person (Investigator or technical contact). By default the field 'Person may be contacted' will be ticked off. If a person does not want to be contacted you can remove the tick. Note that there has to be at least one contact person per project.
If you cannot find the person in the list you can register a new entry ('New person' button). You also can update the address of a person that you have registered. Use the 'add'-button to register more than one person.

8. Associated Publications. Specify the type of publication (peer-reviewed journal, report, etc) and add publication in the reference field. You can copy references from your CV and paste them in this field. Remember to enter only one reference at a time (use the 'add'-button to register more than one publication). The references will be searchable in the database, thus it is important to register publications separately.

When you have fulfilled the registration you will see the project report that also will be seen, when searching your project in the database. The RiS-ID is marked red.

How to find information in the database 

The search function in the database allows you to search for persons, projects and publications resulting from projects. You can specify your search by keywords, names or by using the drill down menue (eg. specify result type, affiliation to an institution or research station. or location).

Where do i find the RiS-ID?

When you have fulfilled the registration you will see the project report that also will be seen, when searching your project in the database. The RiS-ID is marked red. You will also find the RiS-ID in the search report of the project.

How can I get access to my projects from the old RiS catalogue?
